Charmed! Privacy Policy
Privacy standards vary a great deal between individuals. Charmed! is committed to striking a balance between keeping our attendees and presenters safe, respecting their privacy and also being able to function as a convention.
Personal information is collected for registration and/or other convention operations purposes. In the process of providing these services, we require our attendees to provide certain unique and identifiable information. Unique identifiable information that may be collected from our customers in completion of a purchase and registration form include customer’s first name, last name, age, gender, home city and zip code, phone number and email address. Your name will be visible to the registration staff when you check in and show us your ID but, barring an emergency, will at no time be visible to anyone else and we emphasize privacy in our staff training. Registration staff are required to sign a Confidentiality Agreement with Black Rose.
You can write whatever scene name you like on your badge, but it will have a number that will correspond to your legal name in our system. For example, if we find you unconscious, we need to be able to look up your name and tell the ER who you are. We don’t foresee using your badge number for anything that isn’t an emergency and in response to an attendee’s concern in 2016, we randomize the badge numbers so a high badge number will not mean you bought your registration late or your name comes late in the alphabet.
We run our ticketing through an external service provider and we never see your credit card information. If you use the same email address or computer to buy your Charmed! registration that you use for vanilla events, the external service provider may figure out that you’re the same person. If this is a problem, we suggest you get a free email address for your scene name and use that to register for scene events, and look into privacy software for your computer.
We’re never going to sell your data to a third party.
We will keep your identity and the circumstances of a consent report private to the best of our ability. However, if you post about a sensitive issue on social media, you have waived your right to that privacy and we will not be liable for the breach.
When you visit our website or register, we may automatically collect your Internet protocol (IP) and referring website addresses, browser type, and domain name. We may use cookies to track usage patterns on our site and to control your display functionalities. Turning off cookies may affect your online experience.
We use this information to provide and improve our marketing and promotional efforts and content, so we can offer you a better attendee experience. We also might use an attendee’s email address, mailing address or phone number to contact an attendee regarding administrative matters or notices, to resolve disputes and troubleshoot problems. We use anonymized attendee IP addresses as extra data on how many people travel to our convention from which parts of the country to figure out things like the relative importance of being in a hotel with an airport shuttle.
We reserve the right to use or disclose any information without notice or consent to satisfy any law, regulation or legal request; to investigate complaints or possible breaches of law; to protect the convention and our visitors or others. Consumer information may be transferred along with the other business assets in a transaction as permitted by law.
When you use our site or register for our con, you are agreeing to our terms and conditions. You may Opt-out by not providing any information, not completing the forms, leaving the site and not registering for our convention.
By providing us with any personal information you expressly and unconditionally release and hold harmless Charmed!, Black Rose and its subsidiaries, affiliates, directors, officers, employees, licensors and agents from any and all liability for any injuries, loss or damage of any kind arising from or in connection with the use and/or misuse of your collected personal information.
